CosmicAndyOrganizerI want to acknowledge that our current rules don’t fully solve the situation we’re dealing with right now.
At the moment, if a host can’t make their slot, the rule is that the game is removed from the schedule. That creates an issue in cases where a long-standing host, someone who has consistently run a specific time slot for a long period needs to take a short break. Under the current structure, once the game is removed, that slot is effectively open.
This puts us in a difficult position. On one hand, it’s not healthy to create a system where a host feels they can’t take a short break. On the other hand, if someone immediately takes over the exact same time, location, or game while that host is temporarily away, it may not technically break a rule, but it can undermine the spirit of good faith and community we’re trying to build.
We are actively trying to solve a real case right now, so this isn’t theoretical. It highlights a gap in how the rules handle short-term absences from long-standing hosts.
As a possible short-term solution, I’d like feedback on running an experiment during February and March:
- Allow hosts to run the same game in different locations during the same time slot.
- Hosts may not advertise inside another host’s slot during the same hour.
- Any broadcast messages during that hour must fairly include all games running in that slot.
Worst case, some games may see lower attendance. Best case, especially during peak hours, players have more options, hosts feel supported, and we reduce tension around temporary absences.
Open to feedback on whether this experiment makes sense or how it could be improved.

EmmMemberI’ve seen a game set to cancelled or another status (i had to update my calendar to show that), if users are able to chance the status to cancelled i see a few advantages:
1) game slot doesn’t go missing in the long run
2) box distribution system can adjust correctly
3) members wil be reminded it’s a 1 or 2 times thing.If a host cancels their game, others can host in that slot on that day, or 24 up to the game, a cancelled game cannot be uncancelled to prevent slot fighting.
would this work?

CosmicAndyOrganizer@Emm I would think the only solution is something similar to what you suggested. We do have some risk of getting into a position where hosts “own” a slot.

XieTooMemberI’m not sure if this makes sense (trying to wrap my head around the new schedule still), but… Let’s say I needed to take a leave for a month and informed my regular players that I would be out for that month and in the meanwhile Emm, for instance, agreed to be a substitute host. He would have that time slot temporarily, with the agreement that if I were not to return that time slot could be his permanently if so desired. Basically I would be giving up my “rights” to that time slot if I hadn’t returned. If I returned sooner, he would still have that time slot for the agreed upon length of time (4 weeks) and let him know I was ready to resume my time slot the following week.
In regards to what you said above…. are you suggesting we allow two of the same game during a particular time slot? noooooooooo….. please don’t do this. Some hosts provide their own special prizes or ways of doing things and it might only create more issues between hosts and we should be supportive of other hosts, not in competition with them.

CosmicAndyOrganizerYep understood correctly. I agree duplicate games in the same hour are not a good idea with the current volume of people playing. This post is really about trying to avoid a host owning a specific slot. It’s not a major issue on the volume currently but it was raised by Mir that if someone takes a break for any period and follows the rules by coming off the schedule then technically someone can take it.

XieTooMemberI understand… this was all happening during my last event, when Tom was out for a bit because the Inn was sold, then he returned and was surprised that his spot was filled. I explained that people were covering for him also in order for the time slots to not be blank. I think that a lot of things can be resolved if people just speak to each other imho.
