How to Host an Event

Hosting an in-world event is a fun, rewarding, and challenging experience. Events can run anywhere from 1 to 7 days and are among the most popular activities in VZones.

Host Eligibility & Responsibilities

  • Be a registered host for a minimum of 3 months.
  • Actively host at least 2 time slots per month.

As the Event Coordinator, you are responsible for:

  • Creating and completing the event build
  • Selecting and planning the prizes

Staff will not create the build or choose prizes on your behalf.

You are welcome to recruit other citizens to help and work as a team to bring your event to life.

Step-by-Step Process

Step 1: Post your idea in the host forum titled “Event Request” and tag @Cosmic Andy.
Step 2: Staff review and approve the theme and dates.
Step 3: Event coordinator and helpers build inside a turf minimum 2 gaming rooms & 3 scenery areas. More the better.
Step 4: Submit the event form.
Step 5: Staff fine-tune your build, move it into place, prepare prizes, and send the prizes to Suzie.
Step 5: Suzie will announces prize availability in the host forum.
Step 7: Hosts request prizes via the host forum and update their game schedule to Event Games Room #1 & Event Games Room #2
Step 8: Hosts collect prizes before the event begins.
Step 9: The event coordinator runs adverts (News/Facebook) and asks Cosmic Andy to boost and pin posts before the event.
Step 10: The event coordinator posts the event on the schedule and asks Cosmic Andy to make it a featured all day event.

Important Communication Rule

All discussions about your event must stay in the original forum thread created by the event coordinator. Any communication outside of that thread (email, Facebook, WhatsApp, ESP, etc.) is not official and not supported by VZones.

Before You Submit the Event Form

As soon as you have an idea:

  1. Post in the Host Forum titled “Event Request” and tag @Cosmic Andy
  2. Once the thread is posted and theme/dates are approved, complete the event request form.

Event Planning Guidelines

  • Allow at least 1 month of planning time.
  • Choose a clear theme (e.g., Baseball, Harry Potter, Pizza Party, Back to School, etc.).
  • Design your event to appeal to a broad range of members.
  • Prepare a prize list that matches your theme.
  • Consider adding and working with other members during your event.
  • Have backup ideas (not everything may be approved).
  • Stay organized — include pictures and detailed explanations to help staff understand your vision.
  • All builds must be completed inside a turf. Staff will copy the turf for the live event.
  • If you need building help, collaborate with other members.
  • Events can run 1–7 days.
  • Events longer than 2 days require a new set of gaming areas every 2 days.

Activity Host Support

Consider collaborating with other members to incorporate special activity games into your event. Please give participating hosts as much notice as possible so they have adequate time to prepare.

If your event falls on a day when a regular activity game is scheduled, you are required to contact that host and include their activity as part of your event. For example, if your event takes place on a Saturday, the radio show must be hosted from the event area and follow your event theme.
